TIPS FOR EFFECTIVE FUNCTIONING OF PASS BOOK PRINTERS
1. The following are the dimensions for the passbook form to be created in PrintersàServer Properties.
a. Select Create New Form. Give the name of the form as ‘PASSBOOK’
b. Give the following dimensions to the form for Vista and Windows 7 operating system.
Width : 7.92 inch Left : 0.16 inch Top : 1.04 inch
Height : 5.80 inch Right : 0 inch Bottom : 0 inch
c. Give the following dimensions to the form for Windows XP Operating Systems.
Width : 7.92 inch Left : 0.16 inch Top : 1.04 inch
Height : 6.30 inch Right : 0 inch Bottom : 0 inch
d. Install the following Printer drivers.
i) Generic IBM Graphics 9 Pin -- For Vista and Windows 7
ii) IBM Proprinter II – Windows XP
e. Right click on the Printer installed and do the following.
i) Select Printing Preferences à Layout à Advanced à Paper/Output à Paper Size à Select “PASSBOOK”
ii) Select Printer Properties àDevice Setting Tab --> Tractor FeedàSelect “PASSBOOK’ & Paper Feed à Select “PASSBOOK”
iii) Select Printing Preferences à Layout à Advanced à Document Options à Pages per sheet layout à Select ‘’Down then Right” option for Vista and Windows 7.
2. General Problems : -
1. At present passbook is kept in the printer for printing and dragging it out abruptly. Due to this paper sensor is going out of order. For this the printer should be switched off first and ON immediately. Then the Passbook will be ejected automatically.
2. Passbook should not contain any pins and ups and downs. In case of usage of stapler pins for attaching photos etc., these pins will damage the paper sensor. When paper sensor is damaged this results to shortage in the printer and damages the printer mother board. So avoid usage of passbooks containing pins etc.
3. Operators are using the passbook printers without reading the prompting messages regarding insertion of current page or new page in the pop up window. They should be followed.
4. For any problem regarding printer it is better to switch it off first and switch on. This resolves many problems.

First government organisation to be on the site
As part of its new business strategy, the DoP wants to leverage this unique medium to promote its business, as is being done by leading food chains and other firms in the U.S. and Europe. Though some senior DoP officials are currently managing the web page, soon it plans to have a dedicated team of people to answer queries of followers and paste latest promotions and programmes of the department. It also plans to have sub-categories for various users such as business users, foreigners and have posts State and region-wise.
SMS tracking
It all began with the DoP posting information about new schemes for users. It posted links to its website telling users how they could calculate postage tariffs or know pin codes of their respective areas. Then recently, the DoP launched SMS tracking facility for Speed Post shipments and told people how they could make use of it.
Similarly, through Twitter, the DoP has already started an awareness campaign for India's biggest-ever stamp show that will be held in Delhi next February. It has also been sending messages to people who want to partner DoP in various projects or apply for some tender. Followers have also been making complaints and giving feedback about how to improve the functioning of the department.
Boon to philatelists
DoP's Twitter page is also proving to be a boon for those who pursue philately as a hobby, as it has been informing people about limited edition stamps that India Post issues from time to time. “Welcome to the amazing world of the great magician P.C. Sorcar” read a ‘tweet', asking people to get India Post's commemorative postage on the magician. Through another message – India Post greets you on Earth Day! Let's spare a thought for the future of the planet. Let's all join to put together sustainable lifestyles — it is trying to send social messages and connect with those on Twitter.
Senior DoP officials are excited by the initial response from its followers. “Wow, Indian Post is on twitter...that's great to hear” wrote one Indian follower, while a few foreign nationals have also shown interest in India Post's Twitter postings. The DoP has been taking special initiatives for foreigners. For instance, during the recent Pushkar festival in Rajasthan, which is very popular among foreigners, it informed tourists about the post office near the fair where special arrangements were made for sending mails and parcels, which received good response.

The India Post website provides the convenience of browsing and accessing various services from a single point. The site also provides information to visitors without having to call up or physically visit the post offices, resulting in considerable time saving. All requirements from customer point of view are well-explained through the India Post website.

STEPS FOR CONFIGURATION OF SOs in Accounts MIS
- Configuration of SOs with appropriate ND codes is done in the Sub Accounts Module by the HO.
- This option is available in the menu CONFIGURATION - SUB OFFICES for the Supervisor.
- In the dialog box that appears, MODIFY button must be clicked.
- SO PIN Code has to be entered and in case of non delivery office, non delivery code starting from 01 has to be entered [ non delivery code for delivery offices is " 00"].
- This process has to be repeated for all SOs.
- It is important to ensure that the PIN Code of the SO matches with the PIN Code as displayed in the India Post Web Site.
- If the data in Accounts MIS is not displayed correctly, either there is mismatch in PIN Codes or in the ND Codes. Hence, in such cases, a mail needs to be sent to ptcdesk@gmail.com.
- It is also important that ND Codes, once given to SO, must not be changed.

Work flow of new DET
2.While doing day end in Postman Module the data relating to the delivery performance of SP, EPP, RLs, Parcels, Etc. will be inserted in the Local Server.
3.While doing day end in Point of Sale data relating to POS i.e.IPO Sold, MPCM no of transactions, eMOs booked, VPMOs booked, Ordinary MOs booked, Stamps prefixed, Postage revenue realised, articles booked and despatched etc. will be inserted in the Local Server.
4.While doing day end in Sanchay Post 6.5 data relating to signature scanning i.e. Signature Scanning Details account type wise will be inserted in the Local Server.
5.While executing the Sanchay Post - Project Arrow Reports the data relating to Sanchay Post i.e total no. of live accounts account type wise, transaction time, no of transactions account type wise, etc will be inserted in the Local Server.
6.While executing Meghdoot Accounts Mis Client all the data which was inserted as said above in local server will be extracted and encrypted file(.psq) with this data will be created and transmitted to central server.
Precautions for proper updation of data relating to all columns in DET
1.Day end/Shift end in all the modules of Meghdoot including eMO must be completed. Regarding the following modules the day end sequence must be followed as below.
a.Speed Net
b.Postman
c.Point of Sale.
Remaining modules can be day ended in any sequence. But day end must be done in all the meghdoot modules.
2.Day end in Sanchay Post 6.5 to be performed.
3.Sanchay Post - Project Arrow Reports( Installed with the setup available in Meghdoot 6.6 CD) must be executed.
4.Meghdoot Accounts MIS Client to be executed.
If the above sequence is followed, the data relating to all the columns will be transmitted to the central server.
SOLUTION FOR ERRORS ARISED WHEN ACCOUNTS MIS APPLICATION IS INSTALLED AFRESH:
1. If Sanchay Post Version 6.0 or earlier version is used, upgrade to Version 6.5 immediately.
2. If Post Office is already using Sanchay Post Version 6.5, use DB Analyzer to check whether Post Office has upgraded to Version 6.5 successfully. While checking, if DB Analyzer displays error code 1: Z, run 'ARROW.EXE' which is available at www.tamilnadupost.nic.in/sdc/sblan.htm to create the Project database & login.
3. If the Post Office has shifted operations to a new server after up gradation to Sanchay Post Version 6.5, run 'ARROW.EXE' to create the Project database & login and then restore the Project database's backup, if available. Not restoring backup of Project database or removal of the existing Project database and recreating it using 'ARROW.EXE' will result in loss of previous transaction data.
4. ARROW.EXE file in zip format is available at the SBLAN webpage i.e., www.tamilnadupost.nic.in/sdc/sblan.htm along with the instructions for use.
Solution for not transmitting signature scanned data
All the Project Arrow offices are required to follow the following steps, so that signature scanned data is captured regularly by New DET:
1. Sanchay Post Project Arrow Interface module which is available in Meghdoot 6.6 cd has to be uninstalled in all Project Arrow Phase I, II and III Offices and also Phase III-A, if installed earlier.
2. At any time, the option Sanchay Post >> Project Arrow >> Transaction Time Report should be used for viewing KPIs, instead of Project Arrow Interface Module.
3. The KPIs are updated during day end process automatically.
4. It should be ensured that all the patches for Version 6.5 available on SDC Chennai website i.e., www.tamilnadupost.nic.in/sdc/sblan.htm are copied to the respective folders (after unzipping) in all the clients running Sanchay Post.
Out of four points, point no. 01 and 04 must be performed with due care then only signature scanned data will be transmitted.
